Residence Hall Closing Information 2018
All residential facilities will close at 12:00pm (noon) on Saturday, May 12, 2018. After this time, card access for residence halls/Institute apartments will be deactivated and students will no longer have building access. Mail service will also be discontinued.
Students are expected to move out within 24 hours of their last final and no later than 12:00pm (noon) on Saturday, May 12, 2018. Students who need to stay past that time must submit an extension request. Those who request an extension after 9:00am on a Friday, May 4, 2018, must come to the Office of Student Living and Learning to request an exemption. A $25.00 late fee will be assessed if your request is approved. Students may request to remain on campus until 11:00am on Sunday, May 20, 2018. Students wishing to remain on campus after May 20, 2018, must apply for summer housing. Graduating seniors and students assigned to on-campus housing for the Arch or first Summer Session will receive approved extensions and do not need to apply. If you do not receive an extension notification on your door by Wednesday, May 9, 2018, check with your Resident Assistant/Community Manager.
Checking-Out and Returning Your Key
Students have two options for checking-out of their room. Before completing either option, please ensure that:
- All Institute furniture is in the room and arranged as you found it at the beginning of the year
- All personal belongings have been packed so the staff member can accurately assess your room
- Remove all trash and ensure the room is clean
- If completing an express checkout, be sure to lock all windows and doors
Scheduled Checkout: Students who wish for a student-staff member to check their room before leaving for the summer may arrange an appointment with a student-staff member. The student-staff member does not have to be your specific RA or CM. Your building’s staff will send an email informing you how to arrange a scheduled checkout. It is important to schedule your appointment in advance to ensure you have a checkout time. The student-staff member will check your room and will note any damages. Once the staff member has checked your room, please return your key (see below for instructions).
Express Checkout: Students who are leaving late at night or do not wish to schedule an appointment with a student-staff member may complete an express checkout. Damages cannot be appealed if a student chooses to do an express checkout. Students will proceed to the key return area (see below for instructions) and complete an express checkout form.
Checkout policies are strictly enforced for safety and security reasons. Anyone who does not vacate on time will be subject to a fine of $150.00. There will also be a $25.00 charge for each additional night of occupancy.
Returning Your Keys: Keys must be returned to Student Living and Learning during the dates and times listed below. Failure to return your keys properly will result in an improper check-out fee of $50.00 and a lock change charge.

Before or after these hours, please use the key boxes in Public Safety and Student Living and Learning (located in the entry). Please ensure you complete the key envelope when returning your key. Loose or unidentified keys will not be credited to you.
You will receive forwarding instructions in your mailbox; please follow those directions. For questions concerning Summer mail delivery, please contact the Commons Mailroom at x2707.
If you reside in RAHP (Albright, Colvin, Brinsmade, and Beman) or Colonie Apartments, please file a forwarding address with the vendors that you utilize (e.g. USPS, FedEx, UPS) to ensure your mail continues to be delivered to you over the summer.
Bicycles left in areas not designated for Summer housing (Stacwyck) or Arch (Quad), or other summer programs, will be removed and donated.
Refrigerator Pick Up
Rented refrigerators will be picked up on Saturday, May 5th at the following locations and times:
Freshman Hill Residence Halls: 10:00am – 2:00pm, See Location Map
BARH: 11:00am - 12:00 (noon): Remain in room
Quad: 1:00pm – 2:00pm, See Location Map
Blitman, E-Complex, North and Others: 2:00pm – 3:00pm –See Location Map
Please be sure to clean and defrost units thoroughly in your room the night before return. The vender has asked that you review the information on their website regarding the return of rented refrigerators.
