Closing and Move-Out Information

The Office of Student Living and Learning facilitates move-out for the three academic semesters: fall, spring and summer.  Students will receive detailed information regarding check-in via their Rensselaer email account prior to moving out.

Summer Term Closing

All residential facilities will close at 12:00 pm (noon) on Saturday, August 17, 2024. All students who have on-campus housing for the Fall 2024 semester, will be allowed to transition to their new Fall spaces early and the specific date in which the move can begin will be communicated. Further information about this process will be released in mid-Summer via your RPI email.

Spring Semester Closing

As we approach the end of the Spring 2025 Semester, we have outlined below how we will conduct the campus move-out. All Rensselaer residents must check out of their current housing assignment within 24 hours of their last exam or by Saturday, May 3, 2025, at 12:00 p.m. (noon); whichever date/time comes first. Student card access for residence halls/apartments will be deactivated at this time.

Move-Out Process

Moving Assistance

  • Student Living and Learning is unable to provide move-out assistance (e.g. movers, hand carts, dollies). Please consider bringing a moving apparatus to assist you with your move.
  • Rensselaer is committed to providing reasonable and appropriate accommodations to ensure equal access for students and guests with disabilities. For questions, or to discuss particular needs during move-out, students or their guests may contact Rensselaer’s Disability Services for Students Office by emailing dss.rpi.edu or calling (518) 276-8197.

Prior to Returning Your Key

  • Remove all belongings from your room (leased refrigerator/microwave unit may remain in the room)
  • Remove all trash and clean the space to the best of your ability (e.g. if you do not have a vacuum please at least pick up large items and trash on the ground).
  • Close and lock all windows and doors. 
  • Sign the door hanger taped to your door acknowledging you have left the room.

Key Return

  • Move-outs occurring prior to Friday, April 25, 2025, must return their keys to the Office of Student Living and Learning (located below Commons Dining Hall) or place them in the drop box located in the vestibule (accessible 24 hours a day, 7 days a week).
  • Move-outs occurring after Friday, April 25, 2025, must return their key to one of the following locations dependent on their current housing assignment: 
    • Freshman Hill, City Station South, City Station West - Student Living and Learning 24/7 key drop box located inside main office door
    • BARH- key drop box located in lobby
    • Quad, North, E-Complex- key drop box located inside RPI Public Safety
    • Blitman - Blitman key drop box located in lobby
    • RAHP A - RAHP A key drop box located in laundry room
    • Bryckwyck, RAHP B, Stacwyck - key drop box located in RAHP B laundry room

Storage for Students

  • Students who are having difficulties transporting their items home are encouraged to utilize Dorm Room Movers. Dorm Room Movers is Rensselaer’s preferred vendor for packing, storing, and/or shipping items. Additional information regarding storage options can be found here.

Improper Check-Out/Damages

  • Failure to remove all of your belongings and return your keys will result in a $150 improper check-out fee, plus the cost to change locks/replace keys, and pack and store your items. All rooms will also be assessed for damages.  
  • Students failing to vacate their room by Saturday, May 3, 2025, at 12:00 p.m. (noon) without proper prior approval will be charged $150.00 for improper checkout. If the student needs to remain on campus for the evening, a charge of a per night fee, in addition to the improper checkout fee, will be assessed and the student may need to move to temporary housing.

Extensions

Extensions

  • If you have an extenuating circumstance and cannot leave before 12:00 p.m. on Saturday, May 3, 2025, you must fill out the Housing Extension Application. Extensions will only be provided in extreme circumstances.  
  • Students with approved extensions will be charged a per night fee to their student account and will be relocated to temporary housing.
  • Extension requests past 5:00 p.m. on Sunday, May 4, 2025, will not be approved (please see Intersession Housing below).
  • Requests must be submitted by 8:00 a.m. on Wednesday, April 23, 2025.
  • Extension requests will be reviewed and you will be notified by 5:00 p.m. on Friday, April 25, 2025.   

Intersession Housing (May 3, 2025 - TBD)

Additionally Intersession Housing is available for the following students for no charge:

  • Graduating Seniors who are eligible and have applied for May Commencement.
  • Students supporting commencement/commissioning activities and are sponsored by an office/department on campus (Student Union, Institute Advancement, ROTC, etc.)
  • Students supporting other Rensselaer-sanctioned activities.
  • Rensselaer athletes participating in competitions after the May 3, 2025 closing date.

When applying for Intersession Housing students should note:

Summer School Housing

Undergraduate students who are taking summer classes (non-Arch), research on campus, or participating in a local co-op/internship may apply for Summer Housing for the Summer 2025 Term. Students interested in applying for Summer School Housing should complete this application (CURRENTLY CLOSED).

Summer move-in will be on TBD. Students participating in Arch will receive information regarding their summer 2025 housing move-in instructions in the Summer Semester.

Students Residing On-Campus for Arch or Summer Session

If you are residing on-campus this summer and cannot travel home due to distance from Rensselaer, or other extenuating circumstances, you can apply (but not guaranteed) to remain on-campus during the intersession period for a fee of TBD.  Students must meet one of the following criteria to apply for intersession housing:

  • International student status
  • Having a permanent address in a US state other than Connecticut, Delaware, Maine, Massachusetts, Maryland, New Hampshire, New Jersey, New York, Pennsylvania, Rhode Island, and Vermont
  • Other extenuating circumstances

Fall Semester (Winter Recess) Closing

All residential facilities will close at 12:00 pm (noon) on Friday, December 20, 2024. After this time, card access for residence halls/apartments will be deactivated and students will no longer have building access. Anyone who does not vacate on time may be subject to a fine of $150.00. Students who have Spring Assignments who are planning on staying on campus for Winter Recess will need to fill out the Winter Recess Housing Application. This form will open in a to be determined date that will be announced via your RPI email.  

Take home what you need:

Remember that the residence halls will be locked from December 20, 2024 at 12:00pm noon – January 5, 2025 at 9:00am. Students should take home any belongings they may want or need during the break. The halls are secured for protection and safety. Entry will be arranged only in case of emergency. Retrieval of books, ski equipment, etc. does not qualify as an emergency. Rule of thumb: if in doubt, take it home with you

Before you leave your room

  • Close and Lock all Windows!
  • Clean your rooms– Please clean your room and pick up items off the floor.
  • Ground floor residents—close blinds/curtains.
  • Upper floor residents—leave blinds/curtain open.
  • Personal refrigerators should be emptied, unplugged and propped open. Refrigerators provided by the institute (i.e. in apartment kitchens) do not need to be unplugged.  Personal refrigerators that are not unplugged will be unplugged by staff and any perishable items will be disposed of.
  • Dispose of or take home all perishable foods and all trash.
  • Unplug all items from electrical outlets.  Any items left plugged in may be unplugged by staff during closing.
  • Do NOT turn off the heat! Staff from our Physical Plant will be entering each vacant room/apartment and adjusting the heat accordingly. This is to ensure that the heat is at an appropriate level to prevent maintenance concerns.
  • Take home all valuables, medications, fish, etc.. Rensselaer is not responsible for stolen or damaged items.
  • Lock your door.
  • Due to the possibility of power outages, you should NOT leave articles which may be adversely affected by temperature changes. Plants, sensitive electronics, etc. are items which you may want to take home or store elsewhere.

If you are not returning to RPI for the spring 2025 semester due to participation in a co-op, off-campus internship, graduation, taking a leave, etc. and currently have a housing assignment for the spring 2025 semester, you are required to fill out the housing cancellation form online.

We ask that all students check-out 24 hours after your last final or no later than 12:00 pm (noon) on Thursday, December 20, 2024; whichever comes first. Your check-out will be completed after you have removed all of your belongings and when you return your keys to the Office of Student Living and Learning located below Commons Dining Hall. After hours, keys may be returned to the drop boxes in the Student Living and Learning vestibule.  Your room will be assessed for damages upon closing of the residence halls. Failure to comply will result in a $150 improper check-out charge.

Please change your address in the Student Information System (SIS) to receive mail at your new address. The Student Mail Center can be reached at (518) 276-2707 with questions regarding mail services.

Storage:

Students going away for the Spring Semester and Returning to Rensselaer in the Fall can elect to store their belongings off-campus.  Dorm Room Movers offers study abroad storage that students participating in their Arch Semester Away or Study abroad may be interested in.
